WhatsApp Flows let you send supported form fields directly inside WhatsApp, so customers can complete and submit information without opening an external page. You can select an existing form or create a new one, preview the WhatsApp experience, and configure the message template used to open the Flow. After publishing the Flow and receiving template approval, you can send it through Conversations, workflows, or Bulk Actions. This guide explains how to configure form-based WhatsApp Flows, send them to contacts, and review submitted information.

TABLE OF CONTENTS

What Are WhatsApp Flows?

WhatsApp Flows provide guided, interactive experiences directly inside WhatsApp. Customers can tap a button in a WhatsApp message to open a form, answer questions, and submit their information without leaving the app.

When you connect an existing form, the Flow uses its supported fields to create the WhatsApp experience. The original web form is not embedded exactly as it appears on a website.

Forms in WhatsApp Flows can support lead qualification, customer onboarding, feedback collection, registrations, and other information-gathering activities. Completed submissions are associated with the corresponding contact.

Key Benefits of Forms in WhatsApp Flows

Form-based WhatsApp Flows help you collect information while keeping customers in their WhatsApp conversations. They also let you reuse existing forms and choose how approved Flow messages are sent.

  • In-App Form Completion: Customers complete and submit supported form questions without being redirected to a separate website.

  • Reuse Existing Forms: Select a form you already use or create a new form for the WhatsApp Flow.

  • Live Preview: Review how supported form fields appear inside WhatsApp before publishing.

  • Contact Association: Completed submissions are linked to the corresponding contact.

  • Flexible Sending: Send approved WhatsApp templates through Conversations, workflows, or Bulk Actions.

Prerequisites and Limitations

Before creating a form-based WhatsApp Flow, verify that WhatsApp is connected and that you can access the required form and Flow settings. Review the form's fields and the message approval requirements before sending it to customers.

  • WhatsApp Connection: A supported WhatsApp Business connection must already be configured.

  • User Permissions: You need the appropriate access to WhatsApp Flows, WhatsApp templates, and Forms.

  • Form Content: Prepare the questions and information you want customers to submit.

  • Supported Fields: Only fields supported by the WhatsApp Flow experience are included. Unsupported form fields are excluded.

  • Template Approval: The associated WhatsApp message template must complete the applicable Meta approval process before it can be sent as an approved template.

  • Recipient Permission: Make sure you have the appropriate permission to contact recipients before sending business-initiated messages.
Important: Review the WhatsApp preview before publishing. A field appearing in the original form does not guarantee that it will appear in the WhatsApp Flow.

How to Send Forms Through WhatsApp Flows

Creating a form-based WhatsApp Flow involves selecting the Flow type, connecting a form, reviewing the live preview, and configuring a WhatsApp message template. After publishing and template approval, you can choose how to send the Flow to contacts.

Step 1: Open WhatsApp Flows

Start in WhatsApp settings to create a new interactive Flow. Select the form-submission Flow type before configuring its name and form fields.

  1. Go to Settings → WhatsApp → Flows.

  2. Click + Create Flow.

  3. In the Flow type step, select Form submission.

  4. Click Next to continue to the Flow details.

Step 2: Select or Create a Form

Connect the form containing the questions you want customers to answer. The Flow builder displays supported fields and provides a WhatsApp preview so you can review the customer experience before publishing.

Use an Existing Form

Select a previously created form from the available list. The Flow builder uses its supported fields to prepare the interactive WhatsApp form.

  1. In the Flow details step, enter a descriptive Flow name, such as New Customer Inquiry or Lead Qualification.

  2. Open Select form.

  3. Choose the form you want to use.

  4. If a recently created form is missing, click Fetch new forms to refresh the available forms.

  5. Review the supported fields displayed in the Flow builder.

  6. Review the live WhatsApp preview on the right side of the screen.

Create a New Form

If you do not already have a suitable form, you can create one through the Forms area and then select it in WhatsApp Flow setup.

  1. Go to Sites → Forms.

  2. Click + Create New Form.

  3. Create the form with the information you want to collect.

  4. Save the form.

  5. Return to Settings → WhatsApp → Flows and continue creating the form-submission Flow.

  6. Under Select form, choose the newly created form. Use Fetch new forms if it does not appear immediately.
Tip: Build your form around the information you need to collect. Review the WhatsApp preview to confirm that the required questions are available in the Flow.

Step 3: Review the WhatsApp Preview

The live preview shows how the form's supported questions and input controls will appear to customers inside WhatsApp. Check it before proceeding to message template configuration.

  1. Review the questions displayed in the Live preview panel.

  2. Confirm that the required questions appear.

  3. Check the displayed input fields and selection options.

  2. Enter a Template name.

  3. Select the applicable Category and Language.

  4. Configure the Header when needed.

  5. Enter the main message in the Message field.

  6. Add a Footer when appropriate.

Important: Publishing the Flow does not automatically send it to contacts. The associated WhatsApp template must complete the applicable Meta approval process before you can send it as an approved template message.

Step 5: Send the Form Through an Approved Template

Once the Flow is published and its associated WhatsApp template is approved, you can send the interactive form using supported messaging methods. Customers open the form by tapping the Flow button in the received message.

Recommended: Send the Flow to an internal test contact first. Complete the form and verify that the submission appears under the expected form and contact before sending it to customers.

Where to View Form Submissions

Completed WhatsApp Flow responses are stored with the corresponding form submissions and associated with the relevant contact. Reviewing submissions helps you confirm that customers completed the Flow and that the expected information was collected.

  1. Navigate to Sites → Forms → Submissions.

  2. Select the relevant form using the available form filter.

  3. Locate the submission you want to review.

  4. Open the submission to view its collected information.

Only the fields included in the WhatsApp Flow are collected through that Flow submission. If a field was excluded from the WhatsApp experience, it will not be included as a response collected through the Flow.

What Happens When the Original Form Changes?

Editing the source form does not automatically update a WhatsApp Flow that has already been published. This means changes to the original form may not appear in the customer-facing Flow.

After editing the original form, review the Flow configuration and WhatsApp preview before sending the Flow again. Confirm that the required questions appear as intended.
